How our data entry outsourcing works The same five steps for every batch, from the guide to sign-off

  1. Before the first batchWrite the guideWe agree the fields, the rules and the output format with your team, on real samples.
  2. Sample batchProve it on your filesWe run a sample of your documents, and you score it before any volume moves.
  3. Every batchAgents key, people decideAgents enter every item and send anything outside your guide to a trained reviewer.
  4. Every batchSign offThe batch owner checks a sample, signs the batch off and answers for its accuracy.
  5. Every monthLearn from correctionsEach correction becomes an example the agents learn from, so fewer items need a person.

When outsourcing data entry is the right fit And when you need web data collection or an agent built in house

A good fit when

  • You key the same kinds of documents every week or every month
  • Your team spends hours copying from PDFs and paper into a system
  • A wrong field costs you later, in a payment, a claim or an order

Look elsewhere when

  • The data still has to be found on websites: start with web data collection
  • You want the work automated inside your own systems: we build AI agents for that
  • It's a one-off list of a few hundred rows

Our data entry services in detail What each kind of data entry covers, and what you get back

Online and offline data entry

Online data entry means we key straight into the system your team works in, such as Salesforce, Dynamics 365, SAP or a supplier portal. We log in with the accounts you create for us, so the data never leaves your system.

Offline data entry starts from paper or files that aren't connected to anything: ledgers, registers, old reports and spreadsheets. We key them into Excel, CSV or a database and send the files back to you.

Document, PDF and image data entry

Most data entry work starts with a document. Agents read native PDFs, scanned PDFs, TIFF and JPG files, and handwritten pages, and key the fields your guide names.

When a field is blurred, handwritten or missing, the agent doesn't guess. It sends that item to a person with the reason, and the person reads it and decides.

Invoice, bill and form data entry

Purchase orders, vouchers, bills, proofs of delivery and claim forms arrive on paper, by fax and by email. We capture every field, check the totals add up, and match each document to the one it belongs with.

  • Invoices matched to their purchase orders
  • Forms checked against your own rules
  • Missing pages reported to you, never filed

Product and catalog data entry

For online stores we key product titles, SKUs, prices, attributes, tax codes and shipping details into your store or product information system. Each listing follows the template of its category, so filters and search work.

Survey and questionnaire data entry

Paper questionnaires, OMR sheets, barcodes and online survey exports become one clean file. Open answers are typed word for word, and every response is checked against the survey's own logic.

Data entry outsourcing by industry

The same method works across industries, because the guide carries each one's rules. These are the documents we see most often.

  • Insurance: submissions, claim forms, certificates and loss runs
  • Real estate: listings, leases, sales records and tax receipts
  • Healthcare: patient forms and medical records, keyed into your system
  • Retail and ecommerce: catalogs, orders and supplier price lists
  • Market research: questionnaires, panels and open answers

Questions about data entry services What buyers ask us before they send the first batch

What are data entry services?

Data entry services take information from documents, forms, files or websites and key it into the system or format you need. A data entry service provider does the volume, checks the accuracy, and hands back data your team can use without retyping it.

Why outsource data entry instead of hiring?

Data entry volume rises and falls, and hiring for the peak leaves people idle in the quiet weeks. When you outsource data entry, you pay for the records entered, and the batch grows or shrinks with your month.

How do you keep data entry accurate?

Agents key every item and flag the ones they're unsure of, and a trained reviewer decides each flagged item. The batch owner then checks a sample of the rest before the batch ships, and each correction becomes an example the agents learn from.

Is my data secure when I outsource data entry?

You decide where the files live and how we reach them: a secure transfer folder, a VPN into your systems, or accounts you create for us. Only the people on your batch can open the work, and we sign your confidentiality agreement before the first file.

How much do data entry services cost?

Damco prices data entry per record, per document or per field, not per hour. We quote after the sample batch, once we both know how long your documents take and how many need a person.

Which formats and systems do you work with?

We read paper, PDF, TIFF, JPG, Word, Excel and email, and we deliver to Excel, CSV, XML, JSON or straight into your system. Most clients have us key into the CRM, ERP or portal they already run.
