How our document scanning and indexing works Five steps that run every day, from the scan to your archive

  1. Before the first dayAgree the indexWe agree the document types, the index fields and the rules with your team.
  2. Every dayScan and splitPages are scanned and split into documents by barcode, cover sheet or content.
  3. Every dayIndex with agentsAgents read each index field and flag any document they can't read with confidence.
  4. Every dayCheck the exceptionsA person indexes each flagged document, and the batch owner signs the day off.
  5. Every dayRelease and remove duplicatesDocuments go into your system, and duplicates are caught before they're filed.

When scanning and indexing services are the right fit And when an archive project or data entry suits you better

A good fit when

  • Paper still arrives every day, by mail, courier or at the counter
  • Your team scans, but nobody has time to index what's scanned
  • People search shared drives for files named scan_0042.pdf

Look elsewhere when

  • You have a back archive to clear once: see document digitization
  • You need every field keyed into a system: see form processing
  • The documents are already digital and well named

Our document scanning and indexing services in detail What each step covers, and what your team gets

Document scanning services

Paper records need storage space, care and someone to fetch them, and they can only be read in one place. We scan them into clear images at a resolution your records policy sets, in color where color carries meaning, such as a stamp or a signature.

Document indexing services

A scan without an index is a picture nobody can find. Agents read each document's type, date, customer, reference number and amount, and write them as index fields your archive can search.

When a field is missing or unreadable, the agent doesn't guess. It sends the document to a person, who indexes it or tells you what's missing.

Barcode and OCR indexing

Barcodes and patch sheets split a stack of pages into documents without anyone counting pages. OCR reads the printed fields, and the index is checked against your own lists, such as your customer or policy numbers.

  • Barcodes and patch sheets to split documents
  • OCR for printed fields, ICR for handwriting
  • Index values checked against your own lists

Deduplication and online data management

The same invoice is often scanned twice, once from the mail and once from an email. We catch duplicates before they're filed, and keep your archive tidy as it grows.

Scanning and indexing for banking, insurance and healthcare

We index the documents each industry runs on, with the fields it searches by.

  • Banking and finance: account forms, statements and loan files
  • Insurance: applications, claims mail and correspondence
  • Healthcare: referrals, patient forms and records
  • Education, retail and manufacturing: enrollments, orders and delivery notes

Questions about scanning and indexing services What records and operations teams ask us first

What is the difference between scanning and indexing?

Scanning turns paper into an image. Indexing adds the fields that make the image findable, such as the customer, the date and the document type, so your team can search by them.

Which index fields can you capture?

Any field printed or written on the document, such as names, dates, account, policy or invoice numbers, amounts and document types. We agree the list with you before the first day, and check values against your own lists where you have them.

Can you index documents we have already scanned?

Yes. Many teams already scan, and the backlog is the indexing. Send us the images through a secure folder, and we index them to your fields and return or load them.

Which document systems do you load into?

SharePoint, OpenText, M-Files, Laserfiche, SAP and most document management systems, through the access you give us.

How do you price scanning and indexing services?

Damco prices per page scanned and per document indexed, so the cost follows your volume. We quote after a sample, once we know how many fields each document needs.
