How our form processing works Five steps, from the first form type to daily intake

  1. Before the first batchWrite each form's rulesFor each form type we agree the fields, the formats and what makes a form complete.
  2. Sample batchProcess a sampleWe process a sample of real forms, and you check every field and every rejection.
  3. Every dayAgents capture and checkAgents capture each form and run it through its rules as it arrives.
  4. Every dayPeople decide the exceptionsA form that fails a rule goes to a trained reviewer, who fixes it or returns it.
  5. Every batchSign offThe batch owner checks a sample of accepted forms and answers for the batch.

When form processing services are the right fit And when your documents need a looser approach

A good fit when

  • The same form types arrive every day or every week
  • Each form has rules a field must pass before you can act on it
  • Incomplete forms slow your team down because nobody checks them early

Look elsewhere when

  • Every document has its own layout: see document and PDF data entry
  • The forms are supplier invoices: see invoice processing
  • The forms are survey questionnaires: see survey data processing

Our form and document processing services in detail The forms we process, and the checks each one passes

Forms processing for paper and image-based forms

Many forms still arrive on paper, by fax or as phone photos. Agents read the image, capture printed, handwritten and ticked fields, and key them into your system or a file.

A field the agent can't read with confidence goes to a person, who reads it on the image before the form is accepted.

Online forms processing

Web forms and email forms arrive clean but not always complete. We check each submission against its rules, match it to the customer or case it belongs to, and send it on to the team that acts on it.

Document processing services for the forms we see most

Each form type gets its own rules in the guide, so a claim form is checked as a claim and a tax form as a tax form. These are the forms we process most often.

  • Insurance claim, warranty claim and travel claim forms
  • Membership, subscription and credit applications
  • Tax, legal and account opening forms
  • Product registration, rebate and coupon redemption forms
  • Patient and medical forms, under your access rules
  • Immigration, census and examination forms
  • Purchase orders, sales orders and shipping forms

Checking each form against its rules

Processing paperwork is more than typing it in. Each form is checked for required fields, valid dates, totals that add up, and IDs in the right format, before it's accepted.

A form that fails a rule isn't guessed at. A person fixes it from the image, or it comes back to you with the reason, such as a missing signature page.

OCR form processing with a person behind it

OCR reads printed boxes well and handwriting less well. Agents use it as a first pass, compare it with what they read themselves, and send every field where the two disagree to a person.

Questions about form processing services What buyers ask us before they send the first forms

What are form processing services?

Form processing services capture the fields on paper, scanned or online forms and key them into the system or file you need. Good form processing also checks each form against its rules, so an incomplete form is caught before your team acts on it.

What is the difference between form processing and document processing?

Form processing works on forms with fixed fields, such as applications and claims. Document processing services also cover looser documents, such as letters, statements and contracts, where the fields have to be found first.

Can you process handwritten forms?

Yes. Agents read handwritten fields and flag any they aren't sure of, and a trained reviewer reads every flagged field on the image. The form is accepted only once every required field is settled.

What happens to a form that's incomplete?

It comes back to you, or to the person you name, with the reason, such as a missing signature or receipt. Nothing incomplete is filed as if it were finished.

How much do form processing services cost?

Damco prices form processing per form or per field, not per hour. We quote after the sample batch, once we know how many fields each form has and how many need a person.
