Online data entry services, keyed straight into your systems Web data entry into your CRM, ERP or portal, through access you give us
Web based data entry inside the systems you run We log in where your team works and key the record there
How our web data entry works Five steps, from the access you grant to the signed-off batch
- Before the first batchSet up accessYou create accounts for our batch team, with only the rights the work needs.
- Before the first batchWrite the guideWe agree each field, its format and the rules your system enforces, on real records.
- Sample batchKey a sample in a test spaceWe enter a sample in a sandbox or a test view, and you check every record.
- Every batchAgents key, people decideAgents enter the records and send anything unclear or conflicting to a trained reviewer.
- Every batchSign offThe batch owner checks a sample of saved records and answers for the batch.
When online data entry services are the right fit And when you need a file, or an integration, instead
A good fit when
- Records have to be keyed into a web system that has no import
- Your team loses hours every week updating a CRM or a portal
- The same record lives in two systems and both must match
Look elsewhere when
- You need a spreadsheet or database file: see offline data entry
- Both systems have APIs and the entry could be an integration we build
- The data still has to be found on websites first: see data extraction
Our online data entry services in detail The systems we key into, and the records we key most
CRM and ERP data entry
Sales orders, new accounts, contacts, vendor records and price changes all need keying into the CRM or ERP. We work in Salesforce, Dynamics 365, SAP, NetSuite, HubSpot and systems built in house, with the accounts you create for us.
Each record is searched before it's saved, so an existing account gets updated instead of duplicated.
Web based data entry into portals
Some data can only go in through a website: a carrier's portal, a supplier site, a government filing system or a client's extranet. We log in, key the forms field by field, and keep the confirmation each site returns.
Online data entry from documents and images
Most online data entry starts from a document: an invoice, a receipt, a patient form, a mortgage file or a handwritten note. Agents read the document and key it into your system, and anything they can't read with confidence goes to a person.
- Invoices, receipts and bills
- Patient records and insurance claims
- Legal and mortgage documents
- Credit card and loan applications
- Business cards and customer feedback
Marketplace and catalog updates
For online stores we update listings, stock levels and prices in your seller accounts every day. When a supplier sends a new price list, the changes are in your store the same week, checked against the list.
Numeric and multilingual data entry
Numeric data entry covers amounts, quantities, account numbers and meter readings, where one wrong digit costs money. Those fields are keyed twice and compared before they're saved.
We also key records in languages other than English, with names and addresses kept in their original spelling.
Data security for web data entry
You decide how we reach your systems: accounts with limited rights, a VPN, or a virtual desktop you host. The work happens inside your system, so no copy of the data is kept on our side.
Questions about online data entry services What buyers ask us before they grant access
What is web data entry?
Web data entry, or online data entry, means keying information straight into a system that runs in a browser, such as a CRM, an ERP or a portal. The data is saved in your system as it's entered, so there's no file to import afterwards.
Do you need access to our systems?
Yes. You create accounts for the people on your batch, with only the rights the work needs, and you can switch them off at any time. Many clients also have us connect through their VPN or a virtual desktop they host.
How do you avoid duplicate records?
The guide names the fields that identify a record, such as an email, a tax number or an account number. Every record is searched on those fields before it's saved, and a near match goes to a person to decide.
How do you keep online data entry accurate?
Agents key every record and flag the ones they're unsure of, and a trained reviewer decides each flagged record. The batch owner checks a sample of saved records, and each correction becomes an example the agents learn from.
How much do online data entry services cost?
Damco prices online data entry per record or per document, not per hour. We quote after the sample batch, once we know how long each record takes in your system.
