When outsourced data cleansing is the right fit And when a tool or a different service would serve you better
A good fit when
- Your CRM has the same customer three times under different spellings
- A migration or a merger is coming and the records need to line up
- Campaigns bounce and sales calls reach the wrong people
Look elsewhere when
- You need the cleanup built into your own pipelines: see data engineering
- Your records are on paper and need keying first: see data entry
- You only want a cleansing tool licensed, with no one doing the work
Data cleansing and formatting services in detail What each part of the work covers, and what you get back
Data audit
Every cleanup starts with a measure of how dirty the data is. We profile a sample of your records and count duplicates, empty fields, invalid values, and records that break your own rules, such as an order with no customer.
You get a short report that says what's wrong, how often, and what it costs you, for example 9% of accounts with no billing contact. We agree what to fix first from that report, and we run the same audit again at the end.
Deduplication and record merging
Duplicates are where most CRM data cleansing starts. The same company appears as "Acme Corp", "ACME Corporation", and "Acme Corp." with three owners and three histories.
Agents compare names, addresses, domains, and phone numbers and score each likely pair. Clear matches merge by the rules you approved. Unclear ones go to a person, who decides and records the reason, so your sales team keeps the right history.
Data formatting
Data formatting puts every field in the shape your systems expect: text case, date and number formats, field length, units, and column order. We also format data from one form to another, such as spreadsheets, database extracts, PDFs, emails, and HTML pages into one clean file.
We follow your style guide to the letter, and where there isn't one, we write it with you before we start.
Data standardization
Standardization makes the same thing read the same way everywhere. Country names become ISO codes, job titles map to a short list of roles, and spelling errors and typos are corrected against a reference list.
Where a value can't be set by a rule, a reviewer checks the entry by hand rather than guessing.
- One format for names, addresses, and phone numbers
- One code list for countries, states, and units
- Every exception sent to a person, never guessed
Data scrubbing and updating
Data scrubbing removes what shouldn't be there: test records, placeholder values like "n/a" or "000-0000", and contacts who have left their company. We update outdated fields from sources you approve and mark every record we change, so you can see what moved and why.
Data hygiene after the cleanup
Records decay. People change jobs, companies move, and new entries arrive with the old mistakes. We can check new and changed records every week or month, so the database you paid to clean stays clean, and the agents get better at your data with each correction a person makes.
Questions about data cleansing services What buyers ask us before a cleanup starts
Why are data cleansing or data scrubbing services important for my business?
Raw data carries errors, duplicates, and gaps, and every report and campaign built on it inherits them. Cleansing fixes the errors, merges the duplicates, and sets one format, so your teams stop arguing about whose list is right and act on the same records.
How do you keep my data private and secure during cleansing and formatting?
We work in the environment and under the access rules you agree with us, and only the people on your project can open your data. Everyone on the work signs a confidentiality agreement. If your industry has its own rules, tell us at the start and we'll set the project up around them.
What is the turnaround time of a data cleansing and formatting project?
It depends on how many records you have, how dirty they are, and how many rules we agree. A list of a few thousand contacts can take days, and a large CRM or ERP cleanup runs in weekly batches. We give you a date after the audit, not before.
How much do data cleansing services cost?
We price per record, so the cost follows the size of your data and the work each record needs. The audit on a sample tells us both, and we quote a fixed price per record from it.
Do agents or people clean my data?
Both. Agents do the matching, formatting, and checking at volume, and a trained person decides every record they flag as unclear. One named owner on our team signs off each batch and answers for its accuracy.
