How our data conversion works Map first, convert in batches, reconcile every batch

  1. Week 1Map the fieldsWe write down where each source field goes, with you.
  2. Week 1Convert a sampleYou load a sample into the target system before we go further.
  3. Each batchAgents convert the volumeAgents convert each file and flag anything that won't map cleanly.
  4. Each batchPeople fix the exceptionsA reviewer resolves each flagged field and reconciles the totals.
  5. DeliveryThe owner signs offA named batch owner answers for the counts and the sample.

When outsourced data conversion is the right fit And when a publishing service or a software project fits better

A good fit when

  • Your data sits in PDFs and spreadsheets and has to reach a system
  • You're replacing a system and the old records must come across
  • Partners send files in formats your system can't import

Look elsewhere when

  • You're converting books or web content: see publishing and accessibility
  • You need the new system built as well: see data engineering
  • Your documents are on paper and need keying: see data entry

End-to-end data conversion services in detail What each conversion covers, and how we check it

Why businesses outsource data conversion

Data ends up in many formats across one company: PDFs from suppliers, spreadsheets on shared drives, and tables in an old ERP. Until it's in one format, leaders can't see the whole picture, and teams retype the same figures.

Converting by hand is slow, and scripts alone break on the odd file. Agents do the volume and a person handles the files that don't fit, so you get both speed and care.

PDF conversion

We convert PDFs into editable Word documents, Excel tables, or structured data your systems can load, and back again where you need a fixed copy. Tables that span pages, merged cells, and footnotes are rebuilt the way a person would read them.

Document conversion

Word files, scanned images, and paper documents become searchable PDFs, Word, Excel, or HTML. Scans are read by OCR, and a person checks every field the agents aren't sure of against the image.

XLS and CSV data conversion

Spreadsheets rarely match the columns a system expects. We reshape them, split and join fields, fix dates and number formats, and produce the CSV or Excel file your import accepts on the first try.

Database and system data conversion

When you replace a system, its records have to come across. We map tables from sources such as SQL Server, Oracle, MySQL, Access, or an old ERP or CRM into the new system's structure, convert in batches, and reconcile record counts and totals after each one.

  • A written field map you approve
  • Counts and totals reconciled for every batch
  • A list of every record that didn't convert, with the reason

Data conversion quality checks

A conversion is right when the output says what the source said. After each batch we compare record counts, column totals, and a sample of records field by field with the source.

Anything that didn't convert is listed with the reason, such as an unreadable scan or a value with no match in the new system. A reviewer resolves each one with you before sign-off.

HTML, XML, and ebook conversion

Publishing formats have their own rules for structure and accessibility. Our publishing and accessibility team converts content to HTML, XML, and ebook formats such as EPUB.

Questions about data conversion services What buyers ask us before a conversion starts

What types of data can you convert?

Documents, spreadsheets, and database data: PDF, Word, Excel, CSV, XML, JSON, and text files, and records from databases such as SQL Server, Oracle, MySQL, PostgreSQL, and Access. We also move records out of older ERP and CRM systems into new ones.

What is the turnaround time of a data conversion project?

A folder of files can take a few days. A move between business systems with custom mapping can take several months. We give you a timeline after we've mapped the fields and converted a sample.

How much does data conversion cost?

We price per record, page, or file, depending on the work. The price depends on volume, how messy the source is, and how much mapping it needs, and we quote after the sample.

Do you clean the data while converting it?

We can. Converting is a good moment to merge duplicates, standardize formats, and drop records nobody needs. We agree what changes with you first, so the new system gets cleaner data and you can still trace every record to its source.

How do you keep our data secure and confidential?

We exchange files over encrypted channels, work in the environment and under the access rules you agree with us, and sign your NDA. When the project ends, we return or delete your data, as you choose.
