When insurance back office services are the right fit And when you'd rather run AI agents inside your own team
A good fit when
- Account managers spend their week keying instead of talking to clients
- Renewals arrive in a wave, and the policy checks fall behind
- Certificate requests wait days because nobody owns them
Look elsewhere when
- You want the agents inside your own team: see Damco Workbench, where you can bring your own AI agents
- You need a new policy or claims system: see Damco Insurance
- The work needs a licensed person to advise the client
Our insurance back office services in detail What each kind of work covers, and what your team gets back
Submission intake and insurance data entry
Submissions arrive by email as ACORD 125, 126 and 140 forms, supplemental applications, schedules of locations and loss runs. Agents read each one and key it into your agency management or submission system, so an underwriter or account manager opens a complete file.
When a field is missing, such as a location's construction type, the agent doesn't fill it in. A person asks for it, through your team or the broker, before the file moves on.
Insurance policy checking
A policy can differ from the quote in a limit, a deductible, a form number or an endorsement's wording. Agents compare every page of the policy with the quote, the binder and the application, and list every difference.
A person decides whether each difference matters, and the list goes to your account manager to take up with the carrier.
- Limits, deductibles and premiums checked
- Forms and endorsements compared word for word
- Named insureds, locations and dates matched
Certificate of insurance processing
Certificate requests come from landlords, general contractors and lenders, each with requirements of their own. We issue each certificate from your system, check that the policy supports what the holder asks for, and keep a record of every certificate sent.
When a holder asks for something the policy doesn't give, such as additional insured status, a person raises it with your team before anything is issued.
Loss run processing
Loss runs come from every carrier in a different layout. Agents extract each claim by policy year, with the paid, reserved and incurred amounts, and match the totals to the carrier's own summary.
You get one loss summary per account, in the same layout every time, ready for a submission or a renewal meeting.
Renewals, endorsements and policy servicing
Renewal season multiplies every task above. We prepare renewal files, key endorsement requests and update your system, so your team's time goes to clients and carriers.
For brokers, MGAs and insurers
The same work runs for each kind of business, in the systems each one uses.
- We help brokers and agencies get complete submissions and checked policies to clients faster
- We help MGAs key and check submissions inside the limits their carriers set
- We help insurers clear intake and servicing queues without adding headcount
Questions about insurance back office services What insurance operations teams ask us first
What are insurance back office services?
They're the processing work behind every policy: keying submissions, checking policies, issuing certificates, reading loss runs and servicing renewals and endorsements. An insurance back office service does that volume, so your licensed people spend their time on clients and carriers.
Which systems do you work in?
We work in the agency management, submission and policy systems you already run, through the accounts you create for us. Nothing is copied out of your systems to do the work.
Who decides when a policy doesn't match the quote?
A person, every time. Agents find and list the differences, a trained reviewer decides which ones matter, and your account manager takes them up with the carrier.
Do your people give insurance advice to our clients?
No. We prepare, key and check, and your licensed staff advise clients and bind cover. We raise anything that needs a licensed decision with your team.
How do you price insurance back office work?
Damco prices per file, such as per submission, per policy check or per certificate, not per hour. We quote after a sample of your files, once we both know how long they take and how many need a person.
